Dance School Guide - Quick Start
Create Dancecovery account
Step 1 - Download Dancecovery
Step 2 - Signing Up as a Dance School
- Tap on the “Sign Up” tab at the top of the screen.
- Click on the link that says “Are you a dancing studio? Click here” to begin setting up your studio account.

Step 3 - Provide details about your school

- Studio Name – Enter the name of your dance studio as you’d like it to appear on Dancecovery.
- Email – Provide a valid email address for your studio. This will be used for login and important notifications.
- Password – Create a secure password for your account.
- Confirm Password – Re-enter your password to ensure there are no typos.
- Accept Terms and Conditions – Check the box to agree to Dancecovery’s terms before proceeding.
- Once all fields are filled out, tap the “Register” button to create your studio account.
After registering, your studio account will be reviewed by the Dancecovery team. This process takes up to 1 working day. Once approved, your dance school will be published and visible in the app.
- You can still continue adding classes and creating passes while waiting for approval.
Add teacher to the school
Step 1 - Navigate to teachers list


- Go to the “Profile” Tab
- Press the “Dance Teachers” button.
- Tap on “Add a teacher” button.
Step 2 - Add teacher's details
- Enter the teacher’s first name.
- Enter the teacher’s last name.
- Enter the teacher’s email address.
- Tap “Save Teacher” button
Note: Double-check the email address before submitting. If a teacher is added with an incorrect email, you will need to remove them and add them again with the correct details.

Sign up as teacher
Step 1 - Create password


- Click the link “Set Your Password“
- Create password.
- Tap the “Save” button.
Important: The account is created using the email address that received the invitation. Use this email for signing in.
Step 2 -Sign in to Teacher's account
- Enter your email to which you received an invitation.
- Enter password that you just created
- Tap “Sign In” button.

Create classes
Step 1 - Add class

- Go to the “Timetable” Tab
- Press the “Add a Class” button to start setting up your class.
Step 2 - Fill out class details
- Class Name: Give your class a clear, short and recognizable name.
- Pick class period: Choose the start and end dates for when the class will be available.
- Capacity: Set the number of students allowed to attend.
- Target Gender: Choose if the class is gender-specific (Male/Female).
- Skill Category: Specify if the class is for a particular experience level.
- Age Group: Select an age range if the class is age-restricted.
- Assign a Teacher: Select the teacher(s) who will lead the class.
- To add a new teacher:
- Tap the blue plus (+) button.
- Enter the teacher’s first name, last name and their email.
- Tap “Save Teacher” to confirm.
- Select teacher from the list.
- Tap “Continue”

Step 3 - Schedule your class

- Day: Select which day of the week the class will take place.
- Pick session time: Pick the starting time for the class.
- Select dance studio: Select the dance room where the class will take place.
- Session duration: Choose how long the class will last.
- Add Additional Sessions (Optional)
- If the class takes place more than once per week, use the “Add Session” option to schedule multiple days.
- Save Class: Tap the “Save Class” button to finalize and publish your class schedule.
Tickets
Step 1 - Navigating to tickets tab

- Go to the “Tickets” Tab: Open the app and navigate to the “Tickets” section.
- Tap “Add a Ticket”: Find and tap the “Add a Ticket” button to start creating a new ticket.
Step 2 - Adding ticket details
- Ticket Name: Give your ticket a clear and recognizable name.
- Price: Set the price for the ticket.
- Number of Uses: Choose how many times the ticket can be used (e.g., “1x” for a single-use ticket, “10x” for a 10-class pass).
- Age Restriction: Specify if the ticket is for a certain age group.
- Select Validity Period: Define how long the ticket is valid after purchase (e.g., if set to 6 months, a ticket bought on January 1st will expire on July 1st).
- Booking in Advance: Decide how far in advance users can book a class (e.g., if set to 1 week, a user booking on Tuesday can only book up to the next Tuesday).
- Tap the “Add a Ticket” button to finalize and save the ticket.

Memberships
Step 1 - Navigating to Memberships tab

- Go to the “Tickets” Tab: Open the app and navigate to the “Tickets”
- Select “Memberships”: Switch to the Memberships tab to manage membership options.
- Tap “Add a Membership”
Step 2 - Add membership details
- Membership Name: Give your membership a clear and recognizable name.
- Price: Set the cost of the membership (full price, not monthly)
- Validity Period: Define how long the membership remains active after purchase.
- Age Restrictions: Specify if the membership is for a certain age group.
- Attendance Frequency: Choose how often the membership allows users to attend classes (e.g., unlimited, 2x per week, etc.).
- Booking in Advance: Set how far ahead users can book their classes.
- Save the Membership: Tap “Add Membership” to finalize and save your membership.

Season passes
Step 1 - Navigate to season passes tab

- Go to the “Tickets” Tab: Open the app and navigate to the “Tickets” section.
- Select “Season Passes”: Switch to the Season Passes tab to manage and create season passes.
- Tap “Add a Season Pass”
Step 2 - Add season pass details
- Season pass Name: Give your season pass a clear and recognizable name.
- Price: Set the cost of the season pass.
- Assign Classes: Choose which classes will be automatically booked when a user purchases this pass.
- Set Age Restrictions (If Needed): Specify if the pass is for a certain age group.
- Tap “Add a Ticket” to save the Season Pass

Manage attendance
Select class to manage

- Open the “Attendance” Tab
- Navigate to the Attendance section in the app.
- Select a Studio
- Choose the studio where the class is taking place.
- Select the date (if needed)
- Tap on a Class
- Find and select the class you want to manage.
Automatic Check - in
- Tap Camera button at the bottom right corner
- Scan QR Codes:
- Dancers can start checking 40 minutes before their class begins.
- Use the built-in scanner to check in students automatically.
- After a successful QR code scan, QR code will disappear from the dancer’s screen. This indicates that the next person can scan their code.
- Set up a phone or tablet with the Dancecovery scanner at the reception desk for quick and easy self check-ins.


Manual Check - in


- Tap the “Check-In” button next to the dancer’s name to manually check them in.
- If you accidentally check in a dancer, tap “Undo” to revert the action.
Cancel Class
- Tap the “Cancel” button in the top-right corner.
- Tap the red “Cancel” button to finalize the cancellation.
- Students will be automatically notified about the cancellation—no further action is needed.


Create Dancecovery account

Add teacher to the school
Step 1 - Navigate to teachers list

- Set Age Restrictions (If Needed): Specify if the pass is for a certain age group.
- Tap “Add a Ticket” to save the Season Pass

- Select a Studio
- Choose the studio where the class is taking place.
- Select the date (if needed)
- Tap on a Class
- Find and select the class you want to manage.
